Job description

Job Summary

The Senior IT and Compliance Officer is responsible for maintaining, monitoring, and supporting the firm’s IT infrastructure, ensuring reliability, security, compliance, and smooth day-to-day operations. This role combines system administration, cybersecurity oversight, infrastructure management, vendor coordination, compliance support, and end-user support.

Key Responsibilities

System Administration & Infrastructure Management

  • Manage and maintain IT systems, including: 
    • Servers and virtual environments 
    • Network equipment and connectivity 
    • Computer workstations 
    • Access control systems (door entry) 
    • PABX/telephone systems 
  • Audio-visual systems for meeting rooms 
  • Administer Microsoft 365, including licensing and email systems 
  • Perform system patching and updates as required 
  • Monitor IT security developments and relevant industry alerts 
  • Manage critical system alerts and respond as needed 
  • Maintain secure configuration and access controls across systems and applications
  • Support implementation and maintenance of cybersecurity measures and best practices
  • Coordinate with external vendors and service providers for specialised technical support and infrastructure-related projects

System Monitoring

  • Monitor performance, availability, and security of: 
    • Server infrastructure 
    • Network equipment and firewall systems 
    • Endpoint devices and endpoint security tools 
    • Microsoft 365 environment 
  • Respond to incidents and alerts promptly 
  • Assist with monitoring logs, antivirus, endpoint protection, and other security tools for unusual activity or potential threats
  • Coordinate escalation and remediation of technical and cybersecurity incidents where required

Backup & Disaster Recovery

  • Execute and verify data backups 
  • Ensure successful completion of backup processes 
  • Manage data replication (including Worldox systems) to ensure redundancy 
  • Maintain server replication (e.g., Active Directory and Affinity systems) for high availability 
  • Support disaster recovery readiness 
  • Participate in disaster recovery and business continuity testing exercises

Vendor & Supplier Liaison

  • Liaise with external IT suppliers and service providers on IT-related issues and projects 
  • Coordinate and follow up on: 
    • Penetration testing and security assessments 
    • Firewall configuration, maintenance, and troubleshooting 
    • Email account management, including secure wiping, deactivation, and access control 
    • Other technical issues requiring third-party support 
  • Track and ensure timely resolution of issues 
  • Maintain clear communication and basic documentation of supplier interactions 
  • Coordinate with cybersecurity vendors and external consultants where required

End-User & Operational Support

  • Create relevant accounts and give access to new employees
  • Support and troubleshoot online meetings and setups 
  • Provide technical support to end users across the firm and respond to ad hoc IT requests from lawyers and other staff 
  • Assist with new IT-related projects and other IT-related tasks as required
  • Support secure onboarding and offboarding of employees, including account provisioning and deactivation

Cybersecurity

  • Support the firm’s cybersecurity and information security initiatives
  • Assist with implementation and maintenance of cybersecurity controls and security best practices across the firm’s systems and applications
  • Monitor security alerts, antivirus, endpoint protection, and other security tools for unusual activity or potential threats
  • Coordinate with external vendors and consultants in relation to cybersecurity assessments, penetration testing, remediation activities, and other security-related matters
  • Assist in responding to cybersecurity incidents and coordinating remediation activities where required
  • Support implementation and maintenance of policies and procedures relating to cybersecurity, acceptable use, access control, and data protection
  • Assist in managing user access reviews and secure onboarding/offboarding processes
  • Support cybersecurity awareness initiatives and staff training activities
  • Monitor relevant cybersecurity developments, vulnerabilities, and industry alerts and escalate risks where appropriate

ISO 27001 & Compliance

  • Support implementation, maintenance, and continuous improvement of the firm’s ISO 27001 information security management framework
  • Assist with drafting, reviewing, implementing, and maintaining IT, information security, and compliance-related policies, procedures, standards, and documentation
  • Maintain IT-related records and documentation required for ISO 27001 compliance and audit purposes
  • Support internal audits, risk assessments, control reviews, and compliance monitoring activities
  • Coordinate with external consultants, auditors, and relevant vendors in relation to ISO 27001 and compliance matters
  • Assist with tracking remediation actions, compliance tasks, and documentation updates
  • Recommend practical improvements to IT governance, operational procedures, and information security controls in line with ISO 27001 requirements and industry best practices

AI Systems & Legal Technology Implementation

  • Support the evaluation, implementation, configuration, and maintenance of approved AI tools, legal technology platforms, and other software applications used by the firm
  • Assist with rollout, adoption, and day-to-day support of AI-enabled solutions and productivity tools across the firm
  • Coordinate with vendors and internal stakeholders regarding implementation, integration, troubleshooting, upgrades, and user support for AI and legal technology systems
  • Support implementation and maintenance of firm policies, procedures, and governance measures relating to AI usage
  • Monitor and help manage risks relating to AI usage, including cybersecurity, confidentiality, data protection, and compliance considerations
  • Assist with testing and evaluating new technologies and software solutions to improve operational efficiency and legal service delivery
  • Provide user support and basic guidance on approved AI tools and applications
  • Maintain documentation relating to AI systems, configurations, processes, and user guidance materials
  • Support training initiatives and user awareness relating to approved AI technologies and systems

Additional Duties

  • Perform other duties as assigned by the Managing Partner or the Operations Manager.

Your skills and experience

Education & Experience

  • Bachelor’s degree in Information Technology, Computer Science, Information Systems, Cybersecurity, or a related field preferred
  • Minimum 5 years of relevant  systems administration, or IT operations experience, preferably in a professional services or law firm environment
  • Experience supporting Microsoft 365 environments, networks, servers, and end-user systems
  • Experience coordinating with external IT vendors, consultants, and service providers
  • Exposure to cybersecurity practices, information security controls, and IT compliance frameworks
  • Familiarity with ISO 27001 principles and information security management practices preferred
  • Experience supporting implementation or administration of legal technology platforms, document management systems, or AI-enabled tools is an advantage

Technical Skills

  • Working knowledge of:
    • Microsoft 365 administration
    • Windows server and workstation environments
    • Network infrastructure, firewalls, and endpoint security solutions
    • Backup and disaster recovery processes
    • User access management and identity/access controls
    • Virtualisation environments and cloud-based systems
  • Ability to troubleshoot a broad range of IT and operational issues in a timely and practical manner
  • Ability to coordinate and manage multiple IT projects, tasks, and priorities simultaneously
  • Understanding of cybersecurity risks, security best practices, and data protection principles
  • Familiarity with AI technologies, legal technology platforms, and modern productivity applications is an advantage
