ROLE PURPOSE:

The post holder is responsible for leading the applications of Information and Communication Technology (ICT) in Sponsorship program implementation, particularly in sponsorship database (ASISt)

SCOPE OF ROLE:

KEY AREAS OF ACCOUNTABILITY :

Sponsorship Data Management

  • Act as a primary point of contact for ASISt, coordinate with SCUS Office and train other sponsorship staff on ASISt
  • Maintain ASISt (Automated Sponsorship Information System) to its maximum capacity for recording, monitoring and reporting functions of entire sponsorship and ensure ASISt is secured and backed up as per the requirement.
  • Ensure timely submission of required number of new child inventories each month with accuracy as per the set plan of action, coordinating with team and ensuring the data is up to the required standard.
  • Process the weekly downstream and carryout subsequent processes within the given timeline and create upstream bimonthly and submit it to SCUS Office on time.
  • Verify data and photo quality on New Family Application and Annual Family Update and complete the data entry on time with accuracy
  • Use ASISt to input all data related to child, family, impact area, community, sub projects, and correspondence and to extract sponsorship correspondences, AFU forms and to report on key sponsorship activities.
  • Manage accurate information of all ineligibility in ASISt and manual folders in close coordination with the field staff.
  • Provide training and support to field staff for new enrollment, midyear eligibility check, AFU collection and track the completion progress.
  • Provide support in preparing Monthly Management Report
  • Conduct training to field staff on Sponsorship operations, and updated sponsorship policies.
  • Cooperate with Communication Assistant to make sure all routine correspondences are on time.
  • Provide Technical Assistance to partners in conducting Sponsorship orientation, Community group meetings. Backed up by Sponsorship Manager in submitting upstream report, Monthly Management Report
  • Backed up by Data Management Interns/Volunteers in processing Downstream and Upstream, data entry and export reports
  • Providing overall ICT support to Sponsorship team in Lao Cai offices, in close collaboration with country ICT team
  • Providing support to the Sponsorship MEAL Officer in program data management.

Other tasks as required by supervisor

Working Contacts:

  • Internal Contacts:  The post holder will be expected to work with relevant staff, project managers, Area manager, communication officer under the supervision of Sponsorship Program Manager.
  • External Contacts: The post  holder will be expected to  develop and maintain personal links  and effective relationships with partners and counterparts in other agencies.

Your skills and experience

QUALIFICATIONS :

  • Bachelor’s Degree of IT and related field
  • Minimum 5 years of work experience.
  • Minimum 3 years of IT and related field experience.

EXPERIENCE AND SKILLS

Essential

  • Knowledge of querying and reporting in Microsoft Access, knowledge of advanced mail merge in Microsoft Word, database operation and handling, communication and data management skills
  • Significant working experience in a similar position.
  • Proven knowledge of hardware maintenance and ability to solve simple hardware problems; this includes set-up and management of network devices e.g. printers, scanners, etc.
  • Solid experience in maintaining, trouble-shooting and administering a Microsoft Windows-based (local area) network (and servers).
  • Extensive working experience with anti-virus software for workstations (and servers).
  • Advanced knowledge of Microsoft Windows operating systems, including XP and Windows 2003, and Microsoft Office applications (Word, Excel, PowerPoint, etc.).
  • Thorough understanding and working knowledge of Microsoft Outlook and email-related products and concepts.
  • Good working knowledge with Microsoft Exchange Server
  • Good working knowledge of Microsoft Windows Server and domain system configuration.
  • Strong knowledge of Active Directory, DC, ISA server, Domain Controller, DHCP server, DNS server, RAS, VPN…

  • Good English, including speaking, writing and reading
