ITviec is registered at 60 Nguyen Van Thu, Dist. 1, Ho Chi Minh City, Vietnam. (“ITviec,” “we, us, our”) is a leader in the provision of online recruitment, advertising solutions. ITviec acts as the data controller of personal information obtained from its clients with a need for recruitment services and of personal information submitted by candidates who are interested in job postings and recruitment matching solutions.

This privacy policy describes how your data is obtained, used, processed and forwarded and what your rights are in respect of your personal data.

Purpose of collecting your data

  • For individual users

Our main aim is to facilitate the recruitment process. We match our users’ requirements to IT job opportunities and facilitate their submission of job applications to employers and recruitment service vendors through our website. In order to fulfill our legal and business obligations, we procure personal information you make available to us when using and visiting our website. We also collect information about how you use our website. We use this information to help you find the right job, encourage you to receive invitations, improve our services, request you to join surveys/marketing activities, inform you of important updates/information, generate the statistical labor market report, comply with applicable law/regulations, and to analyze and remedy defects. In order to use our services, you will be asked to provide us with your personal data  (but some information is optional) such as your name, your email address, street address, city, state/province, zip/postal code, country, telephone number, current salary, the URL of your personal website, your age/date of birth, nationality, education history, skills, language ability, preferences, gender, interests and favorites, and your Curriculum Vitae/User Profile.

In the course of the recruitment process, we may also store further information such as application and/or recruiting process history, your behavior at our website, cookies (specified at other clause), device information that may be of importance for a successful service delivery.

  • For employers/customers

Our main aim is to support customers hiring and sourcing processes. We provide a platform to post customer’s jobs and match the right candidates through our platform and/or services. In order to fulfill our legal and business obligations, we procure customer’s personal information you make available to us when using and visiting our website. We also collect information about how you use our website. We use this information to help you find the candidates, profiles, encourage you to send invitations, improve our services, request you to join surveys/marketing activities, inform you of important updates/information, generate the statistical labor market report, comply with applicable law/regulations, and to analyze and remedy defects. In order to use our services, you will be asked to provide us with your personal data including personal data belonging to the organizations  (but some information is optional), such as your name, your email address, street address, city, state/province, zip/postal code, country, telephone number, your age/date of birth and nationality. 

In the course of the recruitment process we may also store further information such as recruiting process history, your behavior at our website, cookies (specified at other clause) that may be of importance for a successful service delivery. 

How do we use your data

To be able to provide our products and services to you and customers, your information will be collected and transferred immediately to servers and/or systems located outside the territory of Vietnam, then to be retained, processed and disclosed by us in the following ways: 

  • To facilitate the recruitment process, by matching your details to IT job opportunities;
  • To allow details of your skills and experience, to be viewed by our customers whom we feel may be interested in engaging your experiences
  • To allow us to send you our “Job Robot” email service, both with and without your express consent. This service will e-mail to you details of latest jobs which are relevant to your sector and professional experience. Where you are sent details of a job via “Job Robot” service, you will be able to unsubscribe from such updates at any time with the unsubscribe link at the bottom of every “Job Robot” email,
  • To keep you informed of IT job opportunities and IT contract assignments which we think may be of interest to you;
  • To keep you and customers informed your account status;
  • To keep you and customers updated of goods and services provided by our third party business partners which are relevant to your sector. You can opt out at any time from such e-mails using the unsubscribe link.
  • To preserve our business relationship with you  and customers as a user and/or customers of our website;
  • To keep you informed of our marketing activities such as surveys, IT story submissions campaigns, sales promotions etc.;
  • To keep you and customers informed of the products and services (relevant to your sector and your professional interests) offered by us or our group companies via relevant marketing communications. These could include information about recently registered candidates/consultants, customer’s workshops, market updates, new software or training courses that may be of interest to you;
  • To carry out our obligations arising from any contracts entered into between you, customers and us.
  • To notify you and customers about changes to our service.
  • We may also share information with our affiliates, agents, outside vendors or service providers to perform functions on our behalf (such as cloud server providers (e.g. Amazon Web Services, Viettel, Sendgrid or its affiliates etc.), analytics services (e.g. Google LLC, Kibana, Mixpannel, Amplitude, CleverTap or its affiliate etc.), CMS (e.g. WordPress or its affiliate etc.), CRM (e.g. Microsoft, Capsule or its affiliates etc.), HRM (e.g. Recruitee or its affiliate etc.), marketing and advertising services (e.g. Meta Platforms, Inc. or Google LLC, VNG Corporation, CocCoc, RTB House or its affiliates, etc.), Survey Tools (e.g. Survey Monkey, Khaosat.me or its affiliate etc.), Generative AI tools (e.g. Open AI or its affiliate etc.)and external consultants and professional advisers. These individuals and organizations will process personal data shared by us . When a third party acts solely on our behalf and otherwise as applicable, we use reasonable commercial efforts to require that party to follow the privacy practices stated in this policy or have complementary privacy protections to protect your information. We do not share your and customer’s information with unaffiliated third parties except as permitted to do so in this policy.

Your access rights to your stored data, changes and objections to the data processing

You can contact us at itviec+privacy@itviec.com in the event that you:

  • Have any queries about the information that we hold about you;
  • Wish to inform us of any changes in your information or wish to correct the information we hold about you;
  • Have any requests, feedbacks or complaints with regard to our processing of your personal data. The feedback and complaint when problems or requests arise will be implemented in accordance with Decree No. 13/2023/ND-CP dated 17 April 2023 on the protection of personal data. 
  •  No longer wish to receive marketing emails from us or our group companies;
  • Wish delete your all or part of personal data from ITviec. To the avoidance of doubt, we are not responsible for deletion of the data which we have already send to our customers through email or other methods that we cannot control. Notwithstanding your deletion request, we can store all processed data from the collected data such as encrypted or anonymized user data.

Our website may contain links to other websites, which are outside our control and are not covered by this statement. If you access other sites using the links provided, the operators of these sites may collect information from you, which will be used by them in accordance with their privacy policy, which may differ from ours.

Data retention

When you visit and/use our service we hold your data with a view to providing future recruitment services to you and to manage the business relationship. We have rights to retain your personal data permanently from the time of your registration to open your account until you request to delete it. And also we have rights to permanently retain processed data such as encrypted data, statistical data, data in big data and other data which cannot specify individuals. In the event that the business relationship ceases we confirm that we will delete personal data in accordance with our legal obligations

Security measures

We have appropriate technical and organizational security measures in place to ensure the security of your information and to protect it against deliberate or accidental manipulation, destruction, loss or unauthorized access.

Despite our efforts regarding security it is important to bear in mind that the internet is not a secure means of communication. Personal information communicated through the internet may be intercepted by other people. We cannot guarantee the security of personal information sent to us through this website. By using this website and entering your personal data, you accept that we do not guarantee any security, availability, stability and performance of our website excluding the liability specified by the law.
